Administrative Assistant Position
Job Title: Administrative Assistant
Location: Work from home
Terms: Part-time (15-20 hours/week)
Rate: $18-20/hr based on experience
Requirements: occasional weekend and evening hours
Job Summary Example:
The administrative assistant supports all types of organization operations including answering phone calls, assisting the Executive Director in day-to-day operations, data input, supply ordering, mail and email management. This position supports the Executive Director in maintaining the routine functions of the organization. In addition, the administrative assistant assists with special activities, some of which involve attendance at evening events. The administrative assistant must exercise excellent judgement and communication skills to deal with a broad spectrum of people, including staff, Board of Trustees, stakeholders, donors, contractors and community members. This position handles sensitive and confidential information regularly, so diplomacy, tact, and discretion are essential skills.

Essential Duties and Responsibilities:
- Meet weekly with the Executive Director to discuss administrative needs
- Arrange and coordinate meetings, schedule appointments, and maintain calendar to ensure there are no scheduling conflicts, appointments are on-time, and materials are available
- Assist in planning committee meetings and Board of Trustees orientations
- Take notes and summarize discussions/provide minutes at various meetings
- Create and maintain filing systems, both electronic and physical
- Prepare, gather, and format information for internal and external distribution including writing memos, compiling data for reports, editing, and proofreading
- Be a warm, welcoming presence, represent the organization well on the phone or at in-person events
- Sort incoming mail and deliver to the correct locations
- Manage, maintain and organize the Google Drive
- Assist at organization events
- Prepare donor acknowledgement letters and additional communication efforts
Qualification Requirements:
- 2-3 years of administrative assistance experience desired
- Flexibility to extend work hours on an as-needed basis for events
- Excellent interpersonal skills
- Must be able to lift items 20-40 lbs occasionally
- Excellent verbal and written communication skills
- Highly proficient with G Suite (Gmail, calendar, docs, sheets, form, slides, etc.) and Canva, data-management systems, bulk email tools and other office software
